All the emails you send using the protel Messenger are sent via the email provider SendGrid. The main advantage for you is that you will have fewer questions about the automated sending of emails. You only have to create recipient addresses in the protel Cloud Center. This will be automatically saved at SendGridand will be used for all emails you send to your guests using protel Messenger.
From a technical point-of-view, the following has to be considered: Although the emails are sent from the SendGrid domain, your hotel domain is used as sender. Due to these different domains, it is possible that some mail providers would classify such emails as spam.
In order to ensure that your confirmations of reservation and surveys really arrive at your guest, contact your administrator so that he can execute the following settings in your Domain Name System (DNS).
The Domain Keys Identified Mail (DKIM) procedure ensures that the email originates from the domain of the indicated sender. The signature created via DKIM contains one part of a key-pair. The counterpart of the key is published via the DNS of the sending server. The recipient checks the key-pair to make sure that the emails' DKIM signature is correct.
This procedure prevents entered domains as senders being abused as spam or phishing mails. The authentication procedure via DKIM and DNS are very reliable because only the owner of a domain can alter his DNS record.
If you add SendGrid as an authorized sender for your domain into your DNS record, you confirm SendGrid as sender for your protel Messenger emails.
To do so, open Messenger in your protel Cloud Center. You will see the stored email sender in the lower part of the window. Select the appropriate sender and click [Show DKIM]:
protel Cloud Center > Messenger > Account information
After a few seconds, specialized domain keys are generated at the top of the window for your domain. You will need these for authentication.
protel Cloud Center > Messenger > Account information> Show DKIM
For the email provider SendGrid which is used by protel there are three DKIM entries. "CNAME" is the abbreviation for Canonical Name Record and means that one domain is the alias for the other domain. In this case, protel.net is the alias for sendgrid.net.
Eventually you have to adapt these entries. Depending on which program you use for the name resolution in DNS, you have to use the domain keys differently. f you use an external server provider, it is possible that they offer a user interface for customizing the DNS record. Unfortunately it is impossible to explain all of the variables for configuring your DNS records.
Enter these domain keys to your DNS record. The addition in the DNS record always refer to the domain, that means in an MPE combination the DKIM verification has to be executed only once. With verifying the domain all email addresses belonging to this domain are verified too.
After 72 hours, login once again in the protel Cloud Center and open the protel Messenger. Click [Check DKIM].
protel Cloud Center > Messenger > Account information
If the entry into the DNS record was successful, a green check will appear in the DKIM status column.
protel Cloud Center > Messenger > Account information
The supplement located in the DNS record only have to be entered once per domain and not for each sender address.
By activating the DKIM procedure, you have solved the possible domain conflicts and you avoid having your mails end up in your guest’s spam folder.
