Transmission rules for WBE

You will need to create some transmission rules when using WBE. A respective transmission rule is required in order to automatically transmit a confirmation of reservation after an online-reservation has been completed.

Transmission rules required for WBE are all event controlled. The chapter “Transmitting messages” tells you more about the event controlled transmission rules. We recommend using the prefix WBE for the names you use - as shown in the illustration below. This enables you to be able to quickly differentiate between the confirmation messages for the WBE and the confirmation messages for actions in protel FO.

Note

When creating a transmission rule, it is important to always note which hotel has been selected in the top right of the Cloud Center. If your hotel belongs to a hotel group, you must allocate some messages for the entire group and some messages for each individual hotel. To which hotel level a transmission rule is to be created will be explained in more detail below.

The following events are planned for the transmission of messages in WBE:

Contact forms in WBE

protel Support or your protel Partners can help you create transmission messages for the contact forms in WBE. In the WBE the guest can ask for a callback or send a message to the hotel.

The sending of this form depends on the events in protel Messenger:

These contact forms are offered in WBE if a rate has already been booked at a certain time. In order to assure that the appropriate hotel will be informed about a certain inquiry, these two transmission rules must be created for each hotel that comes into question in the WBE. Select the corresponding hotel from the protel Cloud Center and create the transmission rule in Messenger.

Notifications about user account

In addition to the above mentioned messages to the hotel, there are also messages which are sent to the guest. These messages enable a hotel employee to address a guest as personally as possible, i.e., “Best Regards from the Hotel’s Reception”. The corresponding replacement codes are available for the personal addressing of the guest.

The guest will be informed when he creates a new user account or asks for a new password for this account. In Messenger, these two events are called:

When a guest creates a user account for a hotel group in WBE, it is not yet clear to which hotel he is going to make a reservation. These two transmission rules must therefore be created at the hotel level in the Cloud Center on which the WBE is also located. Normally, this is the level of the hotel group. If you are not certain where the WBE was set up, contact your hotel’s technical support or the WBE-Support.

Another transmission rule allows the hotelier to simplify the login function of the WBE for e.g. its regular guests or business guests:

In this rule the hotelier can create an e-mail to the guest with the replacement code Guest Login URL, which is then send to the guest with a link to the login page of the WBE. To do this the hotelier replaces the string hotelbooking by welcome in the URL of the WBE, e.g. http://www.hotel-website.de/wbe5/index.html#/welcome. On this web page he can enter the email address of the guest and send an email with the login page link to the guest. Then the guest can click the link in the email and set its personal password on the website. Please consider that this rule only works with the hotel on which the WBE is located.

Notification about bookings

Furthermore, there are messages directed towards the guest which are directly about his booking. For each of these events, you create a message for the guest per hotel. For that, the following events are available:

protel Messenger sends this message if the guest used WBE to reserve or cancel a reservation. Create a confirmation message for each individual hotel in a hotel group.

Notification about voucher purchases

If you sell gift-certificates in your WBE or simply use the online-vouchers module, produce the confirmation message to be sent to your guest  for the following events:

Because the online vouchers are offered for each hotel in the WBE, create an appropriate  confirmation message for each hotel in a hotel group.

Do not forget!

After you have entered all of the messages for your WBE, please inform your colleagues who have access to protel Messenger that all of the transmission rules using the prefix “WBE” are, by all means, not to be deleted!
