 The processes mentioned in this document should only be executed after the use of the Best Western Interface has been discontinued!

Exceptions should first consult with the protel BWI Team (bestwestern@protel.net)!

What does the deinstallation of the interface mean for the clients?

The removal of the Best Western Settings, the default operating mode of protel SPE/MPE will be resumed. The following functions will then be available again:

*    Block reservations can be once again created and split.

*    Groups can once again be created in the room plan.

*    Shoulder days are no longer required since the group master's arrival and departure dates can be changed at any time. This enables one to simultaneously change the arrival and departure dates for "all" or "a certain number of" group members by means of the group master.

*    Quick and direct entry of names by means of the group master's member list. However, the profiles are incomplete.

*    The group master's DC menu is no longer grayed out. 

*    The "New rate code" option is no longer grayed out in the RBD.

*    Overbooking values cannot be entered more than 51 weeks in advance.

*    Room moves are once again possible.

*    Reservations can be deleted again.

*    Credit card information can only be entered manually, old data is useless.

*    Use the Navigator dialog box to edit the guest's information.

*    Sharers can once again be moved to another room type by means of the DK menu.

Deactivate IDS

To do so, go to the "Export" tab in the Best Western Instance and set the export function from "Synchronize with PMS and export changes" to "Synchronize with PMS only", so that the IDS stops exporting.

 

 

In addition, the instance's status will need to be switched from "Running" to "Deactivated" 

 

Make sure you select the correct instance!

 

 

Cloud connection to Best Western

In the cloud, the BWI interface needs to be set to "inactive". This is executed by the protel Support Team in Dortmund, Germany. The property ID together with the certificates and keys will also need to be removed. To do so, please contact the Best Western Team (bestwestern@protel.net).

After execution, please check if the following three points have been done:

 

 

1.       Status has been set from "active" to "inactive".

2.       Certificates and keys have been removed.

3.       Property ID has been removed.

 

CKits

The following CKits can be removed immediately:

*    Bwi_eodsync

*    ProfileValidator_BW_deutsch

*    ProfileValidator_Optin

*    bwiChannel

 

If the hotel is no longer part of Best Western, the following CKits can be removed. These enable the access of Best Western Reports:

*    BWI_SearchForNonAllocatedConfNoRep_Arrival

*    BWI_SearchForNonAllocatedConfNoRep_Departure

*    BWI_SearchForNonAllocatedConfNoRep_Inhouse

 

The following CKit should remain set if the hotel would still like to search for a guest's Best Western CRS number. If this is not the case, it can be removed as soon as the hotel no longer belongs to Best Western:

*    BestWesternCkitXMLCollection

 

XSetups

Remove all XSetups that are only used for the Best Western interface:

*    Bwi, enabled, 1

PCI

If the client wants to discontinue using PCI, it can be deactivated (not recommended).

In the system data, you will need to modify the PCI settings to "No PCI Compliance".

 

 

Attention!

The client will need to be informed that they will no longer have access to previously entered credit card information once PCI is deactivated in the system data, or the XSetups dealing with PCI are removed. However, they can be manually entered in protel.

System data configuration

Before installing the interface, some points will need to be adjusted in the system data.

Please consult your contact person in the hotel to clarify which settings are to be reset, or not.

Override Codes

Best Western Override Codes that are no longer required can be deleted under SD > Reservation > Reservation codes > Override codes or can alternatively be marked as "Do not display in FO":

 

 

Membership Cards

You should only change the Membership Cards settings as of the day where the hotel no longer belongs to Best Western, because to date, the hotel will be required to credit Best Western Rewards® points to the client.

Best Western Membership Cards that are no longer required, can be hidden in Front Office by selecting the Don't display in FO checkbox under: SD > Reservation > Profile codes > Member card types. Or they can be deleted, if desired. This is only possible with the membership cards that are not being used in a profile.

 

 

VIP codes

The settings for VIP codes should only be changed starting with the day where the hotel is no longer part of Best Western.

Best Western VIP codes that are no longer required, can be hidden in Front Office by selecting the Don't display in FO checkbox under: SD > Reservation > Guest profile codes > VIP Codes.

 

 

The codes will be hidden in reservations which contain the respective VIP codes.

Guarantee codes

Best Western guarantee codes that are no longer required, can be hidden in Front Office by selecting the Don't display in FO checkbox under: SD > Rates > Guarantee codes. The respective guarantee codes can also be deleted, if desired.

 

 

Cancellation codes

Best Western cancellation codes that are no longer required, can be hidden in Front Office by selecting the Don't display in FO checkbox under: Bookkeeping > Cancellations > Void and empty bed fees. They can also be deleted, if desired.

 

 

Methods of payment

Best Western methods of payment that are no longer required, can be hidden in Front Office by selecting the Don't display in FO checkbox under: Bookkeeping > Revenue and Payments > Methods of Payment.

 

 

BW Source Codes

Please use the following query to make the source codes invisible in protel. They will also not be displayed in the existing reservations:

FDI Numbers

The Best Western Front Desk Incentives can once again be replaced by the employees initials under SD > Manager > User Administration.

Welcome letter

The welcome letter can be edited and adjusted under SD > Text > Form Administration.

Attention!

This should be discussed with the hotel’s contact person beforehand.

 

The welcome letter can also be completely removed from the system data because it will no longer be required at the time of the reversal.

Reports

The reports can be deleted under SD > Report > Reports:

 

 

User defined fields

All user defined fields that needed to be manually created, as well as those that were created by using the Enabled 1 XSetup need to be hidden in Front Office.

To do so, select the Don't display in FO checkbox located under Reservation > User defined fields and codes.

 

 

If desired, the user defined fields can also be deleted.

Attention!

This is only possible when they do not have any entries. If there is an entry, the respective error message appears and the field cannot be deleted. In this case, the user defined field can only be changed to "Don't display in FO".

 

Rates

Attention!

Consult the contact person at the hotel to determine which Best Western rates are still being used in the hotel locally. Do not change these rate codes!

 

Rate codes

Remove the Best Western rate groups under SD > Rates > Rate codes from the Rate codes so that they can be deleted properly.

Rates no longer required can be marked as expired rates. Rate codes can be changed as follows:

Example: EC1 becomes _OLD_EC1

Attention!

Please note: If virtual rate codes are limited, packages for existing reservations will not be accounted for in the future.

 

There are two possibilities for editing the rate code details after deactivating the BW interface:

  1. The rate code will be changed to a local rate code in all of the Best Western reservations that still exist.

  2. All of the existing Best Western reservations will be checked. For each Best Western rate code, the latest reservation is used as reference and the availability date for the rate code is changed respectively.

 

Example:

There are still four Best Western reservations in the future, which contain the WW rate code. Two guests depart on 31.12.2017, one departs on 15.02.2018, and the last one departs on 20.02.2018. The rate code detail for the WW rate code is changed to "Valid till 28.02.2018". In doing so, if a guest extends their reservation for a few more days, you can rest assured that the packages will be correctly credited.

 

Change the date in the field highlighted in yellow (SD > Rates > Rates > Rate Code Details):

 

 

Rate groups

You can set the Don't display in FO checkbox located under SD > Rates > Rate Groups to mark all of the Best Western rate groups that you no longer require:

 

 

Rate groups can also be deleted. However, if you do so, rate codes for the respective rate group can no longer be selected.

INI entries

To allow the hotel to create block reservations, the following ini entry needs to be removed: Anzahlbuch=0

Attention!

Please consult with the hotel beforehand to make sure that is really what they want to do.

 

Post-Deinstallation Measures

After executing the above points:

arrow_grey_300x450 The Best Western interface has been deactivated by Best Western International and protel hotel software. Part 1 of the reversal has been executed. Please tell the hotel to restart protel.

Attention!

From now on and until to the date where the hotel no longer belongs to Best Western, the hotel will only receive reservations and changes made to reservations via Fax which then need to be manually entered.
