For matching the availabilities between protel and BWI, the Interface Module protel IDS connect (version 5053 or higher) will be installed. For the Best Western Two-Way Interface an exclusive instance will be set up per hotel.

The BWI IDS instance can be used parallel with other instances. The parallel-run instance (e.g., booking.com, etc.) can be set so that it can access the hotel's local rates (house rates) and optionally access the BWI rates (please mind rate parity!).

The BWI IDS instances can be installed long before actually going live.

Installation

The IDS Version released for BWI can be obtained from protel.

For installation, please follow the general Installation guide (protel Wiki).

The license code for the IDS interface will then be entered into the protel system data (Manager > License Manager). Generic Key: BWI_CRS2
License: License number which you have received from protel.

 

 

Setting up BWI-IDS

The set-up occurs in protel IDS remote. Double-click “ProtIDS.exe” to open the application. The application will now run in the background. Then, please start the application „ProtIDSremote.exe“ by double-clicking it as well. Use [Connect] to start the connection.

Creating a BWI IDS instance

Create a new instance for the BWI-IDS connection. To do so, click the "Instance > Add New Instance" menu point.

Add new instance

MPE-Hotel

Select the ID of the MPE hotel (only applicable for MPE installations).

License Tag

Select the BWI_CRS_2 entry under license tag.

InstanceID

The default number for the instance is 6201. With numerous MPE hotels, the numbers will be used in ascending manner (6202, 6203, etc).

Simply set a check mark here if you would like to allocate another instance number as the default number.

Connect to

Please select the protel hotel management system which is to be connected with the interface.

 

Please note!

After successful installation, it is recommended initially leave the status of the instance as being "Deactivated" - see the following figure.

Configuring instances

Double clicking on the instance will move you to the configuration dialog. Once there, make the following settings:

Common > Internal connection> SQL Database > Data base connection mode: Use database connection for data requests.
Execute a connection test (click the Test button to do this):

Export > Activate Export Availability

Export > Export settings > Export changes every xx minutes.
The value selected here is, amongst other things, dependent on the computer's processing power, the size of the hotel, and the protel edition being used (SPE/MPE). As a guideline, the value here can be set between 5 and 10 minutes. The smaller the time span chosen, the more computing power will be required. Please note that the rate changes are only visible in the Member Web after the set time span has passed!

  2. Version: Select "daily rate ckit for room types and/or rates"

  3. Setting, if fixed or percentual values are to be calculated.

Export > Channel Matching Pairs

  • are only required in special cases (e.g., if there is only one rate code in a level and if this rate code is not available in all room types)

  • need to be configured before the very first IDS export

Import > Deactivated

Log File History > Reset log file to history if it is older than 10 days

Log File History >Do not change delete log file!

If a proxy is used, please do not forget to make the respective settings:

Configuration of additionally operated IDS instances

 

Please pay attention to the following!

If there are additional IDS instances running in the hotel's system (e.g., booking.com, etc.) please make the following settings for these instances:

  1. Additionally operated instances will have to be configured so that the block reservations will automatically be split (Import > Reservation import > Room assignment > Set Reservation split handling to "Split reservations" OR "Split Reservations and assign rooms").

  2. You will also need to activate the Import > Reservation import >Common > Enable advanced reservation modification method option (see screenshot):

This setting results with changed IDS reservations in connection with the BWI interface can be correctly processed.

  1. In the "Import > Reservation Import > Color/Room assignment" tab, select the "Split reservation and assign room(s) entry and activate the "Enable internal reservation split" option (see screenshot):

General information

Please note!

For each IDS instance operating in addition to the BWI interface, protel places a mapping file named "AltBookingsIDs_xxxx (xxx=instance ID) in the installation directory.

Example:

For each IDS booking, an alternative booking number is saved in the file.

Example:
InternalBookingID="BN2585258-1" AlternativeBookingID="2301201608010001"

The alternative booking number is compiled of the Instance ID (yellow), the date (orange), and a counter (green).

The alternative booking number is required for the clear identification of the reservation in protel and is written into the field for the confirmation number.

Please do not delete this file and do not allow it to be scanned by the virus scanner (please define a respective exception rule). Otherwise changes or cancellations of the respective reservations can not be executed successfully, which then can result in double bookings!

 

 

DCS Matching

In order to guarantee the smooth exchange of data between protel and Best Western International, the following parameters will need to be matched:

General Advice

Enter the IDS license before starting the matching.

Start the DCS matching dialog in protel Front Office (Reservation > Distribution Channel Settings).

In the upper left part of the DCS dialog, select the instance number of the Best Western Interface (in the illustration "6201"). The instance number can be different for each hotel and protel will inform you about it.

In the Front Office, the instance number can be viewed under "Add-on modules" > "BWI Rates + Availability Export" after accessing the IDS data.
