Update May 2021 |
In the course of our company-wide checklist project, we also updated the System Requirements Checklist and the Pre-Setup Checklist for Best Western. The links in this help have been adjusted at the appropriate places. Please use from now on the updated links. This will ensure that you always have the most current version of the checklist that we can provide to you.

We have extensively revised the complete BWI documentation. We have checked almost every PDF manual and online help topic and revised them where necessary.
We have also created a new manual for setting up BWI system data & XSetups using the new BWI Setup CKit.
The Ckit creates a large part of the BWI-specific system data and also sets up (almost) all XSetups for you, so that you save a lot of time and work when installing the BWI interface.
Here is a brief overview of the changes:

Major update of allotments and groupsNew groups feature The new group functionality greatly simplifies creating group reservations. Contrary to the previous procedure, these are now split into individual reservations prior to export. This saves time and provides reliable information about your hotel’s availability. An additional benefit for installers is that all group-specific settings no longer need to be taken into account when setting up the interface (new installations). The functionality becomes available once you’ve updated to protel version 2019.20.212 or higher and to protel Web Services (pWS) version 2.10, or higher. Note: Provide your customers with instructions on how to properly use the new feature. Explain, in particular, the discontinuation of the "G-rates". For more information, go to our User Guide. New optional room allotment feature The new room allotment feature enables the users to create deducting allotments, i.e., allotments that reduce availability which are then transmitted to the Best Western Member Web as a group. The feature is available as an additional option. If your customer wants to use it, please use our Setup Guide to configure and activate the feature. Customer Training If needed, customers may receive a short introduction to the changed workflows after the update. The effort for experienced protel users is expected to be rather limited; they already know how to work with group reservations and contingents from their "old" protel. Users who only know the "G-rates" group logic should be offered training if possible. Documentation

Changes according to mandatory fields in guest profilesAs we already informed you via email, several changes occurred according to the mandatory fields in guest profiles. Until now, customers had to fill in the mandatory fields Salutation, Name, Surname, Language, Country and Nationality. Due to changes on the part of Best Western International, the mandatory fields Salutation and Nationality are no longer required. Therefore we changed the CKit "Profile Validator". The mandatory fileds in guest profiles have been reduced to Name, Surname, Language and Country. Please change the respective settings in the CKit you have already tied-in or use the Ckit we have prepared for you. Click here to download the Zip-archive with the updated CKits. |

New BWI Country Codes ListWe have a new country codes list you should use when setting up nationalities. The list contains numerous ISO codes which have changed (highlighted in green): Please insert the new codes into the system data of the Best Western properties for which you are responsible.
Hint: To help simplify things, you can also filter the list for the color used in the table’s cells so that you can see all of the new codes - see next figure:

New Templates for the Best Western Rewards Welcome LettersBecause the registration procedures for the BWR Membership have changed, there are now new templates for the Best Western Rewards® welcome letter. Background: The Best Western Rewards® membership cards will NO LONGER be automatically sent to the guest. Instead, the guest can use a special app or order the membership card online.

This update contains 3 changes which have been introduced by Best Western International (BWI). The changes impact: 1) the transmission of company profiles for local reservations, 2) CRS reservations with a travel agency profile, and 3) VIP codes for Best Western Rewards® members. To what extent are users affected by the changes?
The following sections describe how the changes have been implemented in the protel hotel software and what you need to pay special attention to. Company profilesIf a company profile has been added locally to a reservation, the data for this company profile will now also be transmitted to Best Western. Travel agency profilesOnce a reservation has been transmitted from the Best Western CRS and contains a travel agency profile, the data in the profile can no longer be changed or deleted. Furthermore, reservations originating from the Best Western CRS, must not contain a manually added travel agency profile. Best Western Rewards® profilesa. Name matching and updateBest Western executes a daily name matching between Best Western Rewards® profiles in the CRS and protel guest profiles: When conformities are detected, the information from the Best Western Member Web will be added to the protel guest profile. b. Best Western Rewards® VIP Code - changesThe new Best Western Rewards® VIP Codes (Tier Levels) were introduced on 15 December 20015: BLUE, BASE, GOLD, PLATINUM, DIAMOND and DIAMOND SELECT. The new tier levels must be saved in the protel system data (protel SD > Reservation > Profile codes > VIP codes). As of 01 February 2016, the GOLD ELITE, PLATINUM ELITE, and DIAMOND ELITE tier levels loose their validity. According to Best Western, all guest profiles for Best Western Rewards® members will need to have been switched to the new codes by 31 January 2016.

Group reservations can be generated
with an exclusive rate code. When creating a group, the standard
rate code for the booked room type is allocated first; as need
arises, another available rate code can be selected here. What does this mean for the user?
What does this mean for the installer of the BWI Interface?
Cancellation codes in the protel system dataFor cancellation codes, the Best Western CRS does not accept special characters (äüöáúó, etc.). In addition, cancellation texts (short/long) are not to exceed 20 characters (including spaces). We therefore ask you to respectively check and, if necessary, correct the cancellation codes entered into protel. |

It is now possible to use more than one rate code for local protel reservations!Required protel version: 2015.19.340 Up till now, the system only allowed a universal rate code for each reservation. This limitation is immediately valid only for reservations entering protel from the CRS/Best Western Member Web.

BWI Installations now possible with standard IDSThe standard version of IDS (4.688 or higher) can now be used or BWI installations. Up until now, a special version of IDS which was specially designed for Best Western International needed to be used for the BWI interface. For future installations of the BWI interface, the installer will be able to use the standard IDS version (4.688 or higher). What changes occur for the installation of the interface?Instead of a special BWI version, the IDS standard version will be installed in the hotel. If another protel IDS has already been installed in the hotel, the installed version will need to be updated with the new IDS version (4.688 or higher). An exclusive BWI IDS instance will then simply be setup for each hotel in the standard version of the IDS in order to connect to the Best Western two-way interface.File DownloadThere is a current version of protel IDS connect in protel Wiki (registration required).
