New: Checklists updatet

In the course of our company-wide checklist project, we also updated the System Requirements Checklist and the Pre-Setup Checklist for Best Western. The links in this help have been adjusted at the appropriate places. Please use from now on the updated links. This will ensure that you always have the most current version of the checklist that we can provide to you.

New: Revised BWI documentation

We have extensively revised the complete BWI documentation. We have checked almost every PDF manual and online help topic and revised them where necessary.

We have also created a new manual for setting up BWI system data & XSetups using the new BWI Setup CKit.

The Ckit creates a large part of  the BWI-specific system data and also sets up (almost) all XSetups for you, so that you save a lot of time and work when installing the BWI interface.

Major update of allotments and groups

New groups feature

The new group functionality greatly simplifies creating group reservations. Contrary to the previous procedure, these are now split into individual reservations prior to export. This saves time and provides reliable information about your hotel’s availability. An additional benefit for installers is that all group-specific settings no longer need to be taken into account when setting up the interface (new installations). The functionality becomes available once you’ve updated to protel version 2019.20.212 or higher and to protel Web Services (pWS) version 2.10, or higher.  

Note: Provide your customers with instructions on how to properly use the new feature. Explain, in particular, the discontinuation of the "G-rates". For more information, go to our User Guide.

New optional room allotment feature

The new room allotment feature enables the users to create deducting allotments, i.e., allotments that reduce availability which are then transmitted to the Best Western Member Web as a group. The feature is available as an additional option. If your customer wants to use it, please use our Setup Guide to configure and activate the feature.

Customer Training

If needed, customers may receive a short introduction to the changed workflows after the update. The effort for experienced protel users is expected to be rather limited; they already know how to work with group reservations and contingents from their "old" protel. Users who only know the "G-rates" group logic should be offered training if possible.

Update 26 January 2018

Changes made to the Best Western CKit collection

Several changes have been made to the BestWesternCkitXMLCollection, as well as some news that have been added:

  • New CKits:
    • ProfileValidator_BWI_Phone_Mobil_Fax_en
      Only the following characters may be entered in the fields for phone number, mobile number and fax number in the guest profile: 1234567890-+/()
      If characters differing from the allowed ones are used, an error message will appear.
    • ProfileValidator_EMail_en
      Only valid email addresses may be added to a guest profile.
      If an invalid address is entered, an error message will appear.
  • Changed CKits:
    • BestWesternCkitXMLCollection
      Til this point, several links to the cloud have been incorrect: instead of "https" there was just "httpss", which didn't work.
      Therefore the functionality "Lookup" was not available in the BWI Add-ons and in the guest profiles.

Changes according to mandatory fields in guest profiles

As we already informed you via email, several changes occurred according to the mandatory fields in guest profiles.

Until now, customers had to fill in the mandatory fields Salutation, Name, Surname, Language, Country and Nationality.

Due to changes on the part of Best Western International, the mandatory fields Salutation and Nationality are no longer required.

Therefore we changed the CKit "Profile Validator". The mandatory fileds in guest profiles have been reduced to Name, Surname, Language and Country.

We have a new country codes list you should use when setting up nationalities.

The list contains numerous ISO codes which have changed (highlighted in green):

Please insert the new codes into the system data of the Best Western properties for which you are responsible.

BWI Error Messages - new document version (1.5)

If the BWI interface displays an error message (red blinking interface light), minor errors are often the reason. We have compiled the most frequent error messages for you in the following document: BWI Error Messages. You will be able to correct some of these by simply following the respective Help.

In order to release the IDS storage after exporting the availabilities to Best Western, we recommend the activation of the export option "Free resources after export". The newly available storage is therefore available for IDS instances being operated parallel to the Best Western IDS instance.

protel has published a new IDS version containing additional settings for parallel-operated IDS connections.

Please install this version for each client using an additional IDS-connection (e.g.,  booking.com, etc.) with the BWI interface and execute the settings described below.

protel IDS connect

For matching the availabilities between protel and BWI, protel IDS connect must be installed in version 5007 or higher.

New CKit collection (BWI Add-on)

Update 06 January 2016

This update contains 3 changes which have been introduced by Best Western International (BWI). The changes impact: 1) the transmission of company profiles for local reservations, 2) CRS reservations with a travel agency profile, and 3) VIP codes for Best Western Rewards® members.

To what extent are users affected by the changes?

Hotels and their employees must know that certain BWI VIP codes will no longer be valid as of 01 February 2016 (change 3). All of the Best Western Rewards ® members will need to have been switched to the new BWI CIP codes by then (see further down: Best Western Rewards® profiles).

The following sections describe how the changes have been implemented in the protel hotel software and what you need to pay special attention to.

Company profiles

If a company profile has been added locally to a reservation, the data for this company profile will now also be transmitted to Best Western.

Travel agency profiles

Once a reservation has been transmitted from the Best Western CRS and contains a travel agency profile, the data in the profile can no longer be changed or deleted. Furthermore, reservations originating from the Best Western CRS, must not contain a manually added travel agency profile.

Best Western Rewards® profiles

a. Name matching and update

Best Western executes a daily name matching between Best Western Rewards® profiles in the CRS and protel guest profiles: When conformities are detected, the information from the Best Western Member Web will be added to the protel guest profile.

b. Best Western Rewards® VIP Code - changes

The new Best Western Rewards® VIP Codes (Tier Levels) were introduced on 15 December 20015: BLUE, BASE, GOLD, PLATINUM, DIAMOND and DIAMOND SELECT.

The new tier levels must be saved in the protel system data (protel SD > Reservation > Profile codes > VIP codes). As of 01 February 2016, the GOLD ELITE, PLATINUM ELITE, and DIAMOND ELITE tier levels loose their validity.

According to Best Western, all guest profiles for Best Western Rewards® members will need to have been switched to the new codes by 31 January 2016.

Information for the installer: For existing properties, the old VIP codes can still be used. They should, however, not be used for future reservations. New properties will only need to be set up in the protel system data with the new codes:  BASE, BLUE, GOLD, PLATINUM, DIAMOND, and DIAMOND SELECT

Group reservations: Simplified group handling

protel version 2015.19.404 or higher. The settings described below will need to also be done.

Group reservations can be generated with an exclusive rate code. When creating a group, the standard rate code for the booked room type is allocated first; as need arises, another available rate code can be selected here.
The group rate code (1G, 2G, 3G, etc.) is saved separately in the group master.

What does this mean for the user?

For hotels and their employees, this means the workflow for generating group reservations will be simplified. Groups can once again be generated with the usual protel rate codes (special rates / company rates) and be evaluated respectively.

What does this mean for the installer of the BWI Interface?

A) Procedure for hotels where the BWI Interface has already been installed

First, execute a protel Update (Version 2015.19.404 or higher).

Set the following XSetups into protel's system data:

  • bwi, groupratecode, 1

  • bwi, groupratecode_max, X,
    X must adhere to the respective number of implemented BWI group rate codes. Example: If a hotel uses 30 BWI group rate codes (1G, 2G, ...30G), enter the number 30 for X (i.e., bwi, groupratecode_max, 30).

In the protel system data, set up an additional User Defined Field (UDF) "bwi.groupratecode" - setup as shown in the following screen shot. The new UDF saves the BWI group rate code (1G, 2G, 3G, ...) in the group master.

NOTE: First, create the UDF using write access (Read Only = 0 value can be changed), since you will eventually require access to this UDF later on in the process. During live mode, the UDF needs to be set to: Read Only = 1 value is read only.

In the protel system data, execute the level 1 diagnosis number 57 BWI: FillGroupRateCode UDF.

NOTE: For MPE properties, register with the respective hotel's system data!

The level 1 diagnosis copies the group rate code from the rate code field into the newly generated group master UDF for each existing group reservation.

Double-click the level 1 diagnosis "BWI:FillGroupRateCode UDF" to start it.

Has the level 1 diagnosis been successfully executed, the respective success message will appear. The window can then be closed.

It is possible that by means of the Level 1 diagnosis, local rate codes have been copied to the UDF for the BWI Group rate codes. For this reason, all of the group reservations must be checked and might need to be corrected afterwards. To do so, execute the following query:

The query shows all of the group masters, including the allotted BWI group rate code.

Group master with a false rate code in the UDF must be corrected afterwards (Enter BWI group rate code). Manually entered group rate codes should not overlap from a temporal point of view (please note Shoulder Days).

During live mode, the "bwi.groupratecode" UDF needs to be set to "Read Only"  if not already done so.

Result:

  • The BWI group rate code is only saved in the group master, more explicitly in the Navigator's "BWI Group rate code" UDF. The UDF will remain empty for group members. For future group reservations, the BWI group rate code will be entered automatically.

  • The actual rate code can be freely selected for each group (group members and group master).

  • Internally, the groups will continue to be transmitted to Best Western (1G, 2G, 3G, etc.).

  • When creating a group my means of the room type plan, the question about whether or not a group reservation is to be created no longer appears.

B) Procedure when newly installing the BWI interface

If the BWI interface is newly installed, both XSetups and the UDF will need to be created (see above).

As usual, all of the group reservations must be checked and adjusted in the Front Office. The only change: The group rate code (1G, 2G, 3G, etc.) is saved in a special UDF field located in the group master ("BWI group rate code").

The sequence is important during the setup procedure:

  1. Group master: In the group master, change the user defined field "BWI Group" to "Yes".

  2. Group members:  Select all the group members and click on the "Copy group master UDF" located at the bottom right. With this step, you acquire the "BWI Group:Yes" user defined field from the group master for all group members.

  3. Allot a free group rate code for the group master. The group rate code will be saved in the Group Master's navigator in the "BWI group rate code" user defined field. Please make sure that the group rate code does not overlap another one time-wise.

  4. After having finished the work, the "BWI group rate code" user defined field will be set to "1 Read only" in the system data.

Cancellation codes in the protel system data

For cancellation codes, the Best Western CRS does not accept special characters (äüöáúó, etc.). In addition, cancellation texts (short/long) are not to exceed 20 characters (including spaces). We therefore ask you to respectively check and, if necessary, correct the cancellation codes entered into protel.

Please make sure that you always download the latest IDS connect version from protel Wiki. Current version is 4716 (please use at least version 4710). Please be aware that version 4709 from 24 November 2015 is not supported and should not be used under any circumstances!

The group reservation query now additionally checks the new "bwi.groupratecode" UDF (once the new group handling is implemented, the UDF saves the BWI group rate code information in the group master - see update news from 01 December 2015).

Updated XSetup list

The list of XSetup entries needed when installing the BWI interface has been updated. Two new entries have been added, although one of them will not be required in the future.

    (An additional line for out of order rooms is shown in the room type plan. Simplifies reading the overall report.)

Update 16 November 2015

It is now possible to use more than one rate code for local protel reservations!

Required protel version: 2015.19.340

Up till now, the system only allowed a universal rate code for each reservation. This limitation is immediately valid only for reservations entering protel from the CRS/Best Western Member Web.

  • Local reservations (i.e., reservations you create in protel) are now allowed to have various rate codes.

  • For reservations and reservations originating from the Best Western CRS/Member Web, still only one group rate code is allowed. The rate, as such, (amount in Euros) can be adjusted in the RBD on a daily basis.

  • What does this mean for everyday work in the hotel? Well it means that the hotel can individually adjust the reservation which is captured in the protel Front Office (the "New rate code" option is no longer grayed out).

Update 12 November 2015

BWI Installations now possible with standard IDS

The standard version of IDS (4.688 or higher) can now be used or BWI installations. Up until now, a special version of IDS which was specially designed for Best Western International needed to be used for the BWI interface. For future installations of the BWI interface, the installer will be able to use the standard IDS version (4.688 or higher).

What changes occur for the installation of the interface?

Instead of a special BWI version, the IDS standard version will be installed in the hotel. If another protel IDS has already been installed in the hotel, the installed version will need to be updated with the new IDS version (4.688 or higher).

An exclusive BWI IDS instance will then simply be setup for each hotel in the standard version of the IDS in order to connect to the Best Western two-way interface.

  • Please do not forget to activate the daily rates rate calculation in the IDS configuration (Export > Rate Values > Room rate adjustment resp. daily rate handling > daily rate Ckit for room types and/or rates).

1) It is now possible to use differing rate codes for local protel reservations!

Up till now, the system only allowed one rate code for each reservation. This limitation is immediately valid only for group reservations and for reservations from the CRS/Best Western Member Web.

  • Local reservations (e.g., reservations which had been made in protel) are permitted to contain differing rate codes.

  • For group reservations and reservations originating from the Best Western CRS/Member Web, only one single rate code is allowed; this has remained unchanged.

 How does this affect me as protel partner / installer of the BWI interface?

When installing the interface, only the group reservations and CRS/Member Web reservations will need to be checked for differing rate codes. Our two new SQL Queries (##ZPÜ / RBD ##) will help you. You can also read the altered procedure for setting up the Front Office (Section "Front Office > Preparations > RBD | BWI rate codes").

Entering various rate codes after setting up the interface (Rate by day grid > Option "New rate code") is not yet possible (the "New Rate Code" option will continue to be grayed out). A respective protel Release Version is currently in the making. We kindly ask you to take this into consideration when doing setups and trainings for the interface.
